Compliance Specialist
Position Summary
CutTime is seeking a detail-oriented Compliance Specialist to ensure our software services meet federal, state, and local regulations governing public school fine arts programs. In this role, the Compliance Specialist will oversee regulatory compliance, data privacy, and procurement requirements for both CutTime and SimpleRaise. Key responsibilities include managing vendor applications and bids, researching compliance requirements to maintain contract eligibility, and collaborating with our development and support teams to safeguard student data, and ensuring our solutions meet all applicable education-sector regulations.
Key Responsibilities
Facilitating Compliance Requests/Questions
- Responding to emailed invitations/requests for us to apply as an approved vendor.
- Fill out any necessary Data Privacy Agreements or other documentation as required.
- Send W9 or Terms/Conditions information when requested.
- Answer compliance related questions, both for customers and internally.
Bidding Platforms/Vendor Application Websites
- Register on various bidding platforms as needed.
- Vet available bids to see if CutTime and Simple Raise meet the qualifications for applying as a vendor.
- Apply to appropriate bids through various bidding platforms and submit any necessary documentations.
Vendor Approval Status Maintenance
- Maintain detailed documentation of the current status of our vendor approval for various districts, and other organizations.
- Update our Vendor Approval documents as needed.
- Maintain our internal Help Documents related to the Compliance Process.
- Monitor and audit operations to ensure adherence to regulatory requirements and internal policies.
- Identify and mitigate compliance risks through proactive measures and process improvements.
- Prepare and deliver compliance reports and updates to management regularly.
- Coordinate cross-functional teams to ensure seamless service delivery and documentation accuracy.
Qualifications
- Bachelor's degree in Business Administration, Law, Public Administration, Education Policy; Compliance, or related field.
- 2-3 years of experience in compliance, regulatory, audit, customer operations, order management, or similar role.
- Experience in educational procurement and familiarity with compliance related work experience in a K-12 school or district system preferred
- Knowledge of K-12 public school regulatory environment.
- Familiarity with industry-specific regulations, and knowledge of HIPAA, Children’s Online Privacy Protection Act (COPPA) law; Public Records, FERPA, and other laws/regulations related to student and employee privacy, public information, and records retention preferred. Familiarity with
- Demonstrated experience navigating vendor approval applications with excellence efficiency.
- Exceptional written and verbal communication skills; able to communicate complex issues clearly to legal/compliance and non-legal/compliance audiences.
- Proven ability to operate effectively in a fast-paced, dynamic environment with cross-functional collaboration.
- Ability to take initiative to plan, organize, coordinate, and perform work in various situations when numerous and diverse demands are involved.
Job Details
- Compensation: $48,000 - $53,000/year
- Remote, Full Time Position
- This role is reporting to CFO, and working closely with the Customer Support Manager
- Part of small collaborative teams where you can impact both outcome and culture
