The Event Coordinator / Production Assistant plays a pivotal role within the Marketing & Customer Experience (CX) team to bring our brands to life at industry trade show events, conferences, competitions, and enable relationship building with customers, prospects, and partners to help expand our market footprint and strengthen retention.
Our Marketing & CX team is very collaborative, dedicated, and always looking to help prospects, customers, partners, colleagues, and one another. Peers are available to connect regularly throughout the day through a variety of communication channels. Key Responsibilities:
In this role your duties will consist of several activities and impact multiple areas of our business such as:
Coordinating staff participation with booth/tabletop exhibition and speaking opportunities at 25+ events annually. Duties consits of but are not limited to:
- Securing exhibition space and attendee registration, submitting proposals for speaking opportunities
- Booking and tracking shipment of booth // display materials to and from events
- Ensuring booth / display and collateral, merchandise and other materials are show ready and available to staff
Manage the event participation calendar and ensure promotional content is published on the website, social media channels, and relevant newsletters. Coordinate email communications pre and post events with sales and marketing automaton teams.
Assist sales and account management teams with the logistics and execution of customer road shows and partner conference appearances throughout the year.
Assist with event sponsor marketing execution such as logo placement signage, advertisement, and presentation submissions.
Capture on site event (photo / video) for media production at key local area events.
Ensure collateral, merchandise, and other materials are stocked. Assist with replenishment and identification of new items for shows, customers, partners, and employees.
Required Skills & Experiences:
A strong affinity for logistics is key. We are increasing our event participation across the country, so having a highly organized approach for managing lots of moving parts coupled with proven problem solving skills is vital for this role.
2-4 years of events experience in freelance, agency, or client-side roles
Strong proficiency with trade show and convention related activities - you love events!
Demonstrated ability to delve into, diagnose, and solve complex issues, manage multiple projects, and drive time sensitive tasks to completion
Keen attention to detail and quality controls
Previous professional or personal experience with K-12 fine arts education a plus
Bachelor’s degree a plus
English language proficiency
Travel & Work Location:
Up to 20% travel to industry events and company meetings.
Position is primarily remote U.S. based, north/central Florida location highly desirable.
Compensation:
$45,000/year depending on experience level and track record
